ACKNOWLEDGING NASA and your GALEX GRANT
All publications resulting from the analysis of GALEX data should contain the following acknowledgement, preferably as a footnote to the title of the article:
"Based on observations made with the NASA Galaxy Evolution Explorer.
GALEX is operated for NASA by the California Institute of Technology under NASA contract NAS5-98034."
If you have received a GALEX GI grant, please add an acknowledgement at the end of your article of the form "xxx acknowledges support for this work from the GALEX Guest Investigator program under NASA grant XXXXXX."

There are 2 scenarios determining your course of action:
1. If you are changing institutions shortly after receiving acceptance of your program but before grant award, you do not need to go back to NSPIRES.
YOUR OLD INSTITUTION:
Must send an official letter relinquishing control of that program to the NEW institution.
(Technically, the program belongs to the proposing institution, and it has the right to appoint
a replacement PI, but they normally let it go.)
YOUR NEW INSTITUTION:
Must send an entire proposal package consisting of
1. Proposal.
2. Cover letter accepting responsibility for the program.
3. A signed official budget.
4. Signed Certification forms.
5. Copy of the acceptance letter to the PI.

2. If you have already received your grant award, but are leaving mid-period-of-performance:
YOUR OLD INSTITUTION:
1. Must send to the NEW institution, an official letter relinquishing control of that program. (Technically, the program belongs to the proposing institution, and it has the right to appoint a replacement PI, but they normally let it go.)
2.Must complete a NASA form 272 which is an accounting of any funds which have been expended by the OLD institution. (WARNING: nothing will be accomplished until this form is complete and in the hands of the accounting office so it needs to be done ASAP.)
3. Include a copy of the original grant award
Please send all 3 to the GALEX help desk and NSSC.
YOUR NEW INSTITUTION:
Must send an entire proposal package ASAP consisting of:
1. Original proposal
2, Cover letter accepting responsibility for the program,
3. A signed official budget
4. Certification forms
5 .Copy of the acceptance letter to the PI
6 .Copy of the NASA form 272.
7. Copy of letter from OLD institution relinquishing the grant to:

PROPOSING FOR AN EPO GRANT
NASA HQ reinstated its Education & Public Outreach Program for researchers beginning with: ROSES-08 Amendment 29, and offers three avenues to support in the 2009 ROSES Solicitation, which are:
- Supplements to research programs already in place – see (ROSES)
- Other periodic open solicitation
- Mission embedded projects.
The omnibus solicitation called Research Opportunities in Space and Earth Sciences (ROSES), of which GALEX is one element, also contains an element, called Opportunities in Education and Public Outreach for Earth and Space Science.( SMD EPOESS Guide 1.0) There are now two paths for proposals in this area. Both types of proposal may be submitted.
Emphasis has been placed on support to researchers (E/PO MOWG) and strategies to support EPO programs in Space Science, (see brochure for descriptions of OSS support.)
Currently, NASA plans two (2) calls for E/PO proposals in a calendar year.
- One call will be issued in MARCH and another in SEPTEMBER, (exact dates not yet certain). GALEX proposers selected in Cycle 6 may propose for either date..
- An important caveat is that you must have a year of program funding available when you propose for an E/PO.
- As GALEX grants are not initiated until observations are begun, there will necessarily need to be close communication between GALEXHELP and the GI’s who submit EPO proposals.
GALEX typically announces awards in December of the calendar year and budgets are required to be entered into NSPIRES by mid-January. PI’s of Observing Programs will need to keep a close watch on when observations are (or expected to be) made and the grant award is initiated, and when an E/PO proposal will need to be submitted.
We encourage you to submit via NSPIRES to this valuable program and to look at the EPO websites for more detailed explanations of the programs. FORM 272
The reason for
sending a copy of the Form 272 to the GALEX helpdesk with the new proposal is
that a de-obligation of funds document must be prepared (by helpdesk personnel)
for accounting to ensure that the funds not expended at the original
institution are returned to the GALEX pool of funds so they can be re-obligated
to your new grant.
All the groups
involved in this process are in different building and/or different states. Painful experience has proved that disparate
parts of the accounting system need a central point of contact. We need to have all the pieces together in
order to put a Purchase Requisition (PR) electronically into the system so a
new award can be processed as quickly as possible.
